Start with the activities at your site

An HSE assessment should look at how work actually happens. Describe the operations, teams, equipment and tasks at your site. Highlight recurring problems, recent changes and concerns staff have raised.

Explain who controls access, who supervises the work and which contractors operate on site. This helps define the assessment scope before a visit.

Useful information to prepare

  • Existing proceduresGather current HSE policies, task procedures and emergency arrangements, where available.
  • Inspection and maintenance recordsProvide records that show checks completed, recurring faults and outstanding actions.
  • Incident informationShare relevant incident or near-miss records and the corrective actions already taken.
  • Site contactsIdentify the people who can explain operations, answer questions and authorize follow-up.

Keep sensitive information under control

Agree which records the assessor needs and how they will be shared. Avoid sending employee personal details or confidential records through a public chat without agreeing a suitable method first.

You do not need to create new records just to look prepared. Existing gaps are part of the starting point. Explain what is available and what is missing.

After the assessment

Review the findings with the responsible managers. For each action, define an owner, a reasonable target date and the evidence needed to confirm completion.

A review should help the team decide what to address first. Serious or specialist issues may need qualified technical advice before work proceeds.
